Administrative/Personal Assistant

The administrative assistant is responsible for digital organization, administrative tasks, and calendar management for the CEO. This position is a part-time position.

Key Job Duties & Responsibilities Include

  • Inbox Management:
    • Responding to a high volume of emails from clients and leads appropriately and in a timely manner
    • Striving daily towards “inbox zero” for 3 or more inboxes
    • Cull through emails from several different inboxes, including archiving non-actionable items and unsubscribing from spam, using documented processes
    • Convert emails with action items into todo list tasks
  •  Calendar Management:
    • Schedule meetings based on availability and other criteria
    • Respond to meeting proposals taking into account current and forecasted availability, often proposing new times
    • Evaluate the weekly and monthly calendars each day, rescheduling conflicts as needed
  •  To-Do List Management:
    • Convert emails into todo list items using the provided software
    • Monitor the list constantly for items that can be delegated
    • Process all possible action items
  • Other administrative tasks as assigned, after training
